We are seeking a full-time Regional Office Manager (ROM) to join our Operations Team. The ROM leads and supports front office operations across multiple clinic locations, fostering a collaborative team environment and delivering a high-quality patient experience aligned with the organization’s core values. This role drives consistency, efficiency, and long-term growth by implementing streamlined processes, training, and performance improvements while partnering with clinic and regional leadership to support team success and advance organizational goals.
Essential Functions
- Lead front offices operations in coordination with Regional Director, Managing Partner and/or Clinic Manager
- Implementation of front office initiatives throughout all locations within the region
- Ensure front office actions align with organizational core values and comply with policies and procedures
- Consistently monitor front desk KPIs, identify opportunities for improvement and implement improvement initiatives
- Conduct onsite process reviews of front desk team, conduct trainings accordingly
- Troubleshoot Raintree issues, develop processes and strategies to eliminate future problems
- Provide input to Clinic Manager, Managing Partners, and Regional Director regarding hiring, terminations, promotions, and performance reviews for regional administrative team
- Partner with Talent Acquisition through all steps of the hiring process for administrative staff, including screening and interview of applicants through signed offer
- Collaborate with other Regional Office Managers to support a unified approach throughout the organization
- Coordinate Onboarding process and conduct training for new front office staff
- Strategize continued training and education for current front office staff in coordination with Clinic Managers, Regional Managers, and Regional Managing Partners
- Lead regional front office staff meetings monthly and quarterly
- Demonstrate excellent customer service both in person and on the telephone
- Coordinate/provide regional coverage for clinics
- Ensure front office adherence to payer requirements for patient registration, verification of insurance eligibility, patient authorization, or any other requirements
- Work collaboratively with Revenue Cycle Management to review financial metrics
- Partner with Operational Excellence and integration team to support new acquisitions and denovos; including but not limited to providing remote and onsite assistance, training and education
- Perform all job functions in compliance with applicable federal, state, local and company policies and procedures.
- Assist with new location opening initiatives (equipment delivery, buildout assistance, training, go-live)
Requirements
- Excellent customer service and verbal/written communication skills
- Three to five years’ customer-service related experience in a professional setting
- Previous experience with front office operations, preferred in a Physical Therapy setting
- Ability to handle multiple and competing priorities
- Demonstrated sound judgment and complete confidentiality regarding patient’s medical information.
- Self-directed, self-confident; able to work with minimal direction and project a professional appearance
- Knowledge of registration, insurance types and referral process
- Detailed oriented; organized with excellent follow-through skills
- Excellent problem-solving skills
- Able to work independently and a part of a team and exemplify our core values
- Solid understanding of health insurance in relation to Physical Therapy and Chiropractic care
Preferred Qualifications
- College degree preferred or equivalent work experience
- Knowledge of and experience with Raintree EMR
- Experience with MS Office & Teams, specifically Excel & PowerPoint
